Example input
[TEXT_TO_REWRITE]: Hi Mark, I wanted to reach out regarding the delivery of the integration module. Unfortunately there have been some delays on our side and it seems that we will not be able to meet the date that was initially agreed. We are doing everything possible to speed things up and we hope to have news soon. Sorry for any inconvenience this may cause you.
[TARGET_AUDIENCE]: Client-side project sponsor, senior, non-technical, already frustrated by one previous delay
[PURPOSE_AND_GOAL]: Announce the delay, keep the relationship intact and get the new date approved without a call
[PREFERRED_TONE]: Direct but warm
[DELIVERY_CHANNEL]: Email
Example output
## 1. Diagnosis
The draft has one fatal gap: **it announces a delay without announcing a new date.** For a sponsor who has already absorbed one slip, "we hope to have news soon" is not information β it's a second delay wrapped in an apology. It guarantees the call you're trying to avoid.
Secondary problems:
- **Buried lead.** The news arrives in sentence two, cushioned by "I wanted to reach out regarding."
- **Hedging that reads as evasion.** "It seems that we will not be able to meet" β either you'll miss it or you won't. A non-technical senior reader hears wobble and assumes worse.
- **Passive attribution.** "the date that was initially agreed" quietly removes the agent from the agreement.
- **Effort offered instead of outcome.** "Doing everything possible to speed things up" is the language of someone with nothing concrete to report.
- **Conditional apology.** "Sorry for any inconvenience this *may* cause" implies the inconvenience is hypothetical. It isn't.
- **No ask.** Nothing tells Mark what to do, so his default action is to pick up the phone.
**{intervention_level}: Deep.** The structure runs apology β vagueness β hope, which is the exact order that triggers escalation. Rebuilt.
**{core_message}:** *The module now lands on [NEW DATE], that date is firm, and I need you to confirm it β nothing else is required of you.*

## 2. Rewrite
> **Subject:** Integration module β new date for your approval
>
> Hi Mark,
>
> The integration module won't be ready for **[ORIGINAL DATE β {verify}]**. The new date is **[NEW DATE β {verify}]**.
>
> I'm sorry to bring you a second date change. I know what the first one cost you on your side.
>
> The cause is ours: **[SPECIFIC CAUSE, one sentence β {verify}]**. **[WHAT WE'VE CHANGED SO THIS DOESN'T REPEAT β {verify}]**
>
> What I need from you:
>
> - Confirm **[NEW DATE]** works, or
> - Tell me what it breaks on your side, and I'll come back with options β not another delay. *{verify: only keep this line if you can stand behind it}*
>
> A short reply by **[DAY β {verify}]** closes this out. If you'd rather talk it through, I'll make time whenever suits you.
>
> Best,
> **[NAME]**
**Length note:** the rewrite runs longer than the original (~130 words vs. ~70). The 15β30% reduction target doesn't apply here β the original was short because it was empty. Every added word is a date, a cause or an ask, all of which the stated goal requires.
**The three placeholders are not optional.** Without a real date and a real cause, this email fails exactly where the original failed. If you don't yet have a defensible date, send nothing today and send this tomorrow with one. A wrong date costs you the relationship; a one-day silence costs you nothing.

## 3. Stress-test: how Mark could misread this
| Risk | What triggers it | Mitigation in the rewrite |
|---|---|---|
| **"They still don't know."** | Any date presented as an estimate or hedged with "around," "targeting," "hopefully" | The new date is stated flat, with no modifier. Keep it that way when you fill the slot. |
| **"They're hiding something."** | A vague cause, or no cause at all | One specific sentence of cause. Non-technical β needs no explanation; it means the explanation must be in his terms, not yours. |
| **"Third delay incoming."** | Nothing distinguishing this date from the last one | The "what we've changed" line is the whole defence against this. If you skip it, expect the call. |
| **"I'm being railroaded into approving."** | An ask that only permits yes | The second bullet gives him a real alternative, so confirming stays a choice. |
| **"They're avoiding me."** | Announcing a delay by email with no opening to talk | The closing offers the call. Offering it is what prevents him demanding it. |
| **"They're panicking."** | A long or repeated apology | The apology is one sentence and appears once. Don't reinstate the second one. |
| **Silence.** | He reads it, has no objection, and never replies β so nothing is formally approved | The reply-by date creates a record. If the day passes, send one line: *"Taking your silence as confirmation of [DATE] β say the word if not."* |
The residual risk you cannot design away: he may simply refuse the date. The rewrite is built so that if he does, he refuses *in writing, with a reason*, which is a far better position than a call where you improvise.

## 4. Edit log
| Original | Rewrite | Why |
|---|---|---|
| *(no subject line)* | "Integration module β new date for your approval" | Channel convention. States the topic and the required action before he opens it. |
| "I wanted to reach out regarding the delivery of the integration module." | *cut* | Pure preamble. Cutting it costs a little of your habitual courtesy β the retained "Hi Mark" and the closing offer carry that instead. |
| "Unfortunately there have been some delays on our side" | "The cause is ours: [SPECIFIC CAUSE]" | Kept your phrase and its ownership; replaced "some delays" with an actual cause. "Unfortunately" cut β the news is already unfortunate. |
| "it seems that we will not be able to meet the date that was initially agreed" | "The integration module won't be ready for [ORIGINAL DATE]" | Hedge removed, passive removed, date named. Moved to first line: leading with the conclusion lands harder here, because he'll skim for it anyway. |
| *(absent)* | "The new date is [NEW DATE]" | The single most important addition. Without it the email has no purpose. |
| *(absent)* | "I know what the first one cost you on your side." | Names the prior delay. Silence on it reads as hoping he's forgotten. He hasn't. |
| "We are doing everything possible to speed things up" | "[WHAT WE'VE CHANGED SO THIS DOESN'T REPEAT]" | Effort swapped for a mechanism. Effort is unverifiable; a change is checkable. **{verify}** β this is a slot for your commitment, not one I've written for you. |
| "we hope to have news soon" | *cut* | The line that would have cost you the relationship. Hope is not a delivery plan. |
| "Sorry for any inconvenience this may cause you." | "I'm sorry to bring you a second date change." | Kept the apology, your instinct is right for this reader. Removed the conditional: the inconvenience is real and dated. Moved up so it lands with the news rather than trailing after it. |
| *(absent)* | Two-bullet ask + reply-by date | Converts a notification into a decision he can close in thirty seconds. This is what buys you the no-call outcome. |
| *(absent)* | "If you'd rather talk it through, I'll make time whenever suits you." | Counter-intuitive but load-bearing: an email that forecloses a call reads as avoidance to a frustrated sponsor. Offering it makes it unnecessary. |
**Voice check:** your register is courteous, plural-ownership ("on our side"), apologetic-but-not-grovelling. All three retained. What changed is density, not personality β the rewrite says the things you were circling around.
